How we use your information
YMCA Greater Nottingham collects personal information online/via electronic communication for the following areas:

We may also ask you for information when you report a problem with our site.
- Contact: If you contact us, we may keep a record of that correspondence.
- Surveys: We may ask you to complete surveys using a third party platform (e.g. SurveyMonkey) that we use for research purposes, although you do not have to complete them.
- Analytic data: Details of your visits to our site including, but not limited to, web server statistics, traffic data, location data and details of the web pages and resources that you access.
Third parties
Whilst we use third parties to produce materials/provide services directly to us, these third parties cannot and do not access any information about our service users. We may disclose your personal information to third parties in a very limited number of circumstances:
- Where we engage the business services of a third party to provide services directly. For example:
- MindBody processes payments for YMCA Gym members.
- My Play Service/MagicBooking processes payments and stores personal details for service users of term-time YMCA Childcare.
- We may use a mailing house to email promotional materials such as our email newsletter. Rest assured that any third parties are strictly prohibited from using your personal data for any other purposes.
- In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.
- If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use and other agreements; or to protect the rights, property, or safety of our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.
Google Analytics
When someone visits nottsymca.com, Google Analytics, Google Adgrants. Google Search Console and other analytics apps may be used to collect standard internet log information and details of visitor behaviour patterns. We do this to find out the number of website visitors to pages so we can improve the site for your needs. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website without telling you first. We will make it clear when we are going to collect personal information and will explain what we intend to do with it.
Search engine
Our website search is powered by Google. Search queries and results are logged anonymously to help us improve our website and search functionality. No user-specific data is collected by either Nottinghamshire YMCA nor any third party and will not be unless we tell you first.
Storing data
Nottinghamshire YMCA uses a database called Salesforce – alongside the company’s Marketing app called Pardot – to store, profile and evaluate data to ensure we can deliver the best services for you. We promise to only keep essential information that is necessary for the services/Marketing to which you have consented, and we will take measures to safely delete any personal data that is no longer relevant to our relationship with you. Cookies
The analytics mentioned above are gathered using cookies. They can also be used by us when website users are making purchases to remember login and item details. Cookies are never used to store payment details for further use.
E-newsletter
As well as our internal methods, we use a third party provider Pardot (Salesforce) to deliver our e-newsletters as well as other communications. We gather statistics based on email opening and clicks using industry standard technologies including clear gifs to help us monitor and improve our e-communications. For those people who register for our newsletter via our websites, we may use Mailmunch to store the data that they provide relating to subscriptions to our mailing lists. Emails sent to us
Any email sent to us, including any attachments, may be monitored and used by us for reasons of security and for monitoring compliance with organisational policy. Email monitoring or blocking software may also be used. Please be aware that you have a responsibility to ensure that any email you send to us is within the bounds of the law. We use return email addresses to answer the messages we receive. Such addresses are not used for any other purpose and are not shared with outside parties unless directly relevant to your service.
YMCA Greater Nottingham employment
When individuals apply to work at YMCA Greater Nottingham, we will only use the information they supply to us to process their application and to monitor recruitment statistics. Where we want to disclose information to a third party, for example where we want to take up a reference or obtain a “disclosure” from the Disclosure and Barring Service, we will not do so without informing the individual(s) beforehand unless the disclosure is required by law. Personal information about unsuccessful candidates will be held for 6 months after the recruitment exercise has been completed. It will then be deleted securely. We may retain de-personalised statistical information about applicants to help inform our recruitment activities, but no individuals are identifiable from that data. Once a person has taken up employment with YMCA Greater Nottingham, we will create a personnel file relating to their employment. The information contained in this will be kept secure and will only be used for purposes directly relevant to that person’s employment. Once their employment with YMCA Greater Nottingham has ended, we will retain the file in accordance with our HR policies and then it will be securely deleted.
